How do I manage break policies and paid breaks?

Set break policies for users and configure paid breaks

Break policies define the duration of breaks for a day and determine whether breaks are automatically deducted from time entries or whether a warning appears if breaks are missing.

Which break policies are available?

Break policies with warning

Break policies labelled with warning trigger a notification if the defined requirements are not met. The notification is sent by email and in the account to the affected user, the department head, and the administrators.

Break policies with automatic break deduction

Break policies without the warning label are automatically deducted from the recorded time entries at the end of the day, based on the defined requirements.

No break policy

If you select this option, no breaks are automatically considered for the affected users. There are neither automatic break deductions nor warnings.

Assign or change a break policy

  1. Navigate to Company > Users in the side menu.
  2. Click the three-dot menu and select Go to profile.
  3. Switch to the Employment tab and navigate to the Break policy section.
  4. Select the desired break policy.
  5. Enter the start date in the Start date field from which the break policy should apply.
  6. Click Save.

Info: The start date of the break policy can be on or after the TimeTac start date. If the break policy is changed after a timesheet has been closed, the start date must be after the date of the last closed timesheet.

Paid breaks

A paid break is automatically deducted from the recorded breaks and shown separately in the timesheet.

Info: The current maximum value for paid breaks is 300 minutes and can only be changed by TimeTac customer support.

Assign or change paid breaks

  1. Navigate to Company > Users in the side menu.
  2. Click the three-dot menu and select Go to profile.
  3. Switch to the Employment tab and navigate to the Paid breaks section.
  4. Enter the number of minutes for the paid break per working day.
  5. Enter the start date from which the paid break should apply.
  6. Click Save.
