How do I manage employment settings?

Set work schedules, break policies, overtime policies, and departments with start dates, and manage time requests

Follow these steps

  1. Navigate to Company > Users in the side menu.
  2. Click on the row of the desired user or open the three-dot menu and select Go to profile.
  3. Switch to the Employment tab.

Edit employment information

Start of employment

Enter the date from which the user's employment began.

Warning: The Start of employment date is not the same as the TimeTac start date (configurable in the Profile tab). The TimeTac start date determines from when a user can use TimeTac.

Info: The start dates of all assigned policies – public holiday calendar, work schedule, break policy, and overtime policy – must be on or after the TimeTac start date.

Personnel number

Enter a Personnel number or another unique identification number.

Manage work schedules

Work schedules form the basis for accurate time tracking and affect the calculation of working hours and overtime balances.

In the Employment tab, you have three options:

  • Assign a work schedule: Select an existing schedule from the templates.
  • Edit an existing work schedule: Modify an existing schedule.
  • Create a new work schedule: Create a new schedule.

Set the start date

Click on the Start date field and enter the date from which the work schedule should take effect.

Info: If a work schedule is changed after a timesheet has been finalised, the start date must be after the date of the last finalised timesheet.

Enter the working time balance

If a working time balance exists at the start of TimeTac usage, enter the plus or minus hours that are present on the TimeTac start date.

Set annual working hours

If a user's contract defines a total number of working hours per year, you can enter this value in the Employment tab. The annual working hours and the corresponding annual balance are then displayed in the Timesheet Report.

Assign a break policy

Break policies define the duration of breaks and determine whether breaks are deducted from time entries or whether users are warned about missing breaks.

Select the appropriate break policy and enter the start date in the Start date field.

Info: If a break policy is changed after a timesheet has been finalised, the start date must be after the date of the last finalised timesheet.

Assign an overtime policy

Overtime policies define how overtime is handled – whether it remains unchanged, is deducted from the working time balance, or is reset to zero at the end of an interval.

Info: An overtime policy requires that a work schedule is assigned.

  1. Select the desired overtime policy from the Policy field.
  2. Set the interval and hours if the selected policy requires it.
  3. Enter the date from which the overtime policy should take effect in the Start date field.
  4. Click Save.

Assign a department

Adding department information is optional, but allows you to reflect the structure of your organisation in TimeTac.

  1. Select the appropriate department from the drop-down menu.
  2. Click Save.

If the desired department does not exist yet:

  1. Click Create or edit department.
  2. Click Add department in the top right corner.
  3. Enter a name and, if applicable, a parent department.
  4. Click Add.

To edit an existing department, open the three-dot menu next to the department and select Edit.

Manage time requests

Define whether adding or editing a time entry creates a request and requires approval.

  1. Enable the Enforce approval for time entries checkbox.
  2. Click Save.
