How do I approve absence requests?

Review, approve, or reject absence requests from your team

As a department head or deputy, you can review absence requests from your department. Open requests are available on the Requests page.

Approve or reject a request

On the Requests page, you can see all open and processed requests from your department. Open requests require your decision.

Follow these steps

  1. Navigate to Requests in the side menu.
  2. Find the open request in the list. Open requests are marked with the status Open.
  3. Click on the request to view the details.
  4. Review the absence type, time period, and the optional comment.
  5. Select an action:
    • Accept: Click the checkmark icon to approve the request.
    • Reject: Click the X icon to reject the request.

Tip: After processing, the requestor receives an email notification about the decision. You can enable or disable this notification in the absence settings.

Request status overview

Every absence request has one of the following statuses:

  • Open: The request is waiting for your approval or rejection.
  • Granted: The request has been approved. The absence is displayed in the calendar and reports.
  • Declined: The request has been rejected. The user can send a new request if needed.

Cancel an approved request

You can cancel previously approved requests as a manager. The affected user receives a notification in this case.

Warning: After cancellation, the absence is removed from the calendar and reports. The leave entitlement is automatically restored.
